iAcademy: How to Upload Users with Safer Schools NI

Would you like to upload your Staff and Pupils to the iAcademy with Safer Schools NI? Find out how below!

iAcademy, our online safeguarding training platform, is available to all schools registered with the Safer Schools NI App. 

If you have recently registered with us and are a Safer Schools NI Account Contact, you can upload your Staff and Pupils onto iAcademy - follow the steps below!

Top Tip: Staff have access to a wide range of CPD Certified courses, including Safeguarding Level 1, Appropriate Use of Social Media and Mental Health Awareness. Secondary-aged pupils (16-18) will have access to our Healthy Online Relationships course. 

Step 1️⃣ Once you have registered with us, you will receive a welcome email with details to the Safer Schools NI Portal. Use these details to navigate to the Portal.

Step 2️⃣ When you first log in to the Portal, navigate to the left hand menu and click 'iAcademy'

Step 3️⃣ On this page, you'll be able to get the CSV file of all courses that you can use to upload your staff and/or pupils. Their regionalised courses will already be filled out for you!

Step 4️⃣ Open your CSV. You'll see that the username, first name, last name, email address tabs will all be blank, ready for you to fill out. 

Step 5️⃣ When you're ready, begin inputting your staff/pupil details. The username for each user will be their email address. Don't worry about the password - they'll be asked to create a new one  when they first log in!

Step 6️⃣ As you work along the spreadsheet, you'll find a field called 'cohortid'. You can find this by navigating back to your Safer Schools Portal iAcademy screen, where it is displayed at the top for you.

Top Tip: Your Cohort ID is used to identify your School/Organisation, to ensure all of your users are stored within this! 

Step 7️⃣ Once this is filled in, you've completed your CSV and you are ready to upload your users to iAcademy! Next step - navigate to iAcademy and log in: https://iacademy.oursaferschools.co.uk/login/

Step 8️⃣ Once you're logged in, scroll to the bottom of your Dashboard, where you will find a button, 'Add New Users'. Click this and you'll be brought to the below screen; click 'Upload users'.

iAcademy_support_article_upload_usersStep 9️⃣ Time to upload your users! Click 'Choose a file', followed by 'Choose file'. Browse through your folders to find your saved CSV file. Once you've selected this, click 'Upload users'. 

Step 🔟 Time to choose your settings! 

  • Upload Type > Add new only, skip existing users
  • New user password > Field required in file 
  • Force password change > All
  • Standardise usernames > Yes
  • Select for bulk user actions > No
  • Email display > Hide my email address from non-privileged users
  • Forum auto-subscribe > No: don't automatically subscribe me to forum discussions
  • City/town, ID number, Institution, Department > Please keep these blank
