Adding to the Directory

Your Safer Schools Scotland App has 3 directory functions.

The National and Council Safeguarding Guidance directory is added and maintained by the team at Safer Schools and INEQE Safeguarding Group. Its contains government guidance, resources and policies relating to keeping children safer on and offline, alongside links and contact information, like the Out of Duty number, for local council areas. Links are provided to relevant documentation and it can be accessed by Staff Roles Only.

The Safeguarding Help Directory is available in all roles, with only age appropriate contacts available. It contains links to help organisations users might find useful and can be filtered by category. Where possible, phone numbers, links and email addresses are provided. These buttons are interactive, meaning you can get help directly within the App. The school can also add to this for themselves if they’ve any local organisations they want to be available.

The Staff and School Directory is populated by the school. Administrators add staff and school contacts as desired and set the appropriate audience.

Adding a Contact

Step 1 Log in to the web management portal.

Step 2 Navigate to Directories on the left hand menu. Click it, and select the appropriate directory from the dropdown menu.


Step 3 Enter the contact’s details as desired in the form at the top of the page. In the Staff Directory the Organisation box will create a new heading in the directory for you to group your contacts.


Step 4 Select the audience you’d like to view the card from your schools’ users. Tick the ones you’d like it to appear for.

Step 5 Upload a profile image if you’d like!

Note that this must be under 2MB

Step 6 Click Submit! This will add to the relevant roles of the App immediately.

Bulk Add

You can upload all school staff members/contacts at once by using the Bulk Add button.

Step 1 Click the Bulk Add button.

Step 2 Download the template file for upload. This is a .csv file.



Step 3 Fill in the columns in this file as required.

Step 4 Designate which user roles you’d like the contact to be available to using the following corresponding numbers in the VisibleToRole columns:

Safeguarding Lead - Primary - 1
Safeguarding Lead - Secondary - 2
Staff - Primary - 3
Staff - Secondary - 4
Parents and Carers Primary - 5
Parents and Carers Secondary - 6
Primary Pupils P5-P7 - 7
Secondary S1-S2 - 8
Secondary S3-S4 - 9
Secondary S5-S6 - 10

Step 5 Save the file. Navigate back to the portal and drag it to the area with the plus or click it and find it in your documents to upload.

Step 6 Click Upload Members

Warning
When adding information into the Bulk Upload Template be aware that you should not use commas, as this will affect how the file uploads.

Edit Or Delete A Contact

You can edit or delete any contacts you’ve added with the buttons on the right of the contact. You will be asked to confirm the changes also.
